
Construction Project Coordinator

Accountabilities: The Construction Project Coordinator will be responsible for supporting the successful delivery of commercial construction projects by ensuring accurate administration, documentation, and coordination across all project stages. Manage commercial construction contracts throughout the project lifecycle, ensuring compliance and proper documentation. Coordinate bonding processes, including bid bonds, performance bonds, and maintenance bonds, while maintaining communication with relevant stakeholders. Prepare and submit AIA billing packages (G702/G703), update Schedule of Values (SOV), and monitor retainage and payment milestones. Identify potential billing, documentation, or payment issues and proactively support resolution to maintain project financial health. Maintain project records, schedules, receipts, milestones, and progress updates using construction management platforms. Keep CRM and project tracking systems accurate and updated to support reporting and operational visibility. Coordinate communication between clients, contractors, vendors, municipalities, and internal teams. Support pre-construction activities, project meetings, permits, drawings, and operational documentation. Provide regular updates on assigned responsibilities and help ensure projects remain organized, compliant, and on schedule. Requirements: The ideal candidate will have experience supporting commercial construction operations, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment. Proven experience supporting commercial construction projects or construction administration activities. Hands-on experience with AIA Billing (G702/G703), Schedule of Values (SOV), construction contracts, and bonding processes. Understanding of commercial construction workflows, contract administration, project coordination, and payment tracking. Experience managing retainage documentation and construction financial records. Advanced proficiency with Microsoft Excel and Microsoft Office tools. Familiarity with Buildertrend or similar construction management software is preferred. Experience with CRM systems, project tracking platforms, or construction reporting tools is a plus. Strong written and verbal English communication skills. Exceptional attention to detail, organization, and time management abilities. Ability to manage multiple active projects independently while maintaining accuracy and follow-through. Proactive, solution-oriented mindset with strong ownership of responsibilities.
